Responsibilities:
o Manage an extremely active calendar of appointments; complete expense reports; compose and prepare correspondence that is sometimes confidential; copy, review outside mail, scan and file documents, screen phone calls and visitors, update Outlook contacts, maintain executive files, arrange detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
o Anticipate the executives' needs and proactively bring together appropriate people and resources to support the executive in addressing these issues.
o Complete critical aspects of deliverables and special assignments by establishing objectives; determining priorities; managing time; gaining the cooperation of others; monitoring progress; problem solving; adjusting plans.
o Enhance executives' and the company's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
o Represent the executives by welcoming visitors, arranging company dinners and other corporate functions; answering questions and meeting requests directed to the executive office.
o Manage logistics of off-site meeting and assists with any department meetings as needed.
o Manage external contacts; proactively understand who they are, and who the primary contacts are and keep track of periodic communication needed for primary contacts.
o Improve quality results by studying, evaluating, and re-designing processes, and implementing changes.
o Effectively handle product-related activities and communications with a high degree of professionalism, accuracy, and confidentiality.
o Perform additional duties as assigned.
Executive Assistant
Qualifications:
o 5
years of executive administrative support experience.
o Fluent level of Japanese is required to communicate with Japanese executives and stakeholders in Japan.
o Excellent verbal and superior writing and report presentation skills are essential.
o 5
years of experience supporting high-level executives.
o A high level of professionalism and demonstrated ability to handle confidential information is crucial.
o Demonstrated success where personal results and accountability are evident.
o Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
o Strong sense of teamwork.
o Can operate independently and remotely from a supervisor.
o Advanced PC skills in Microsoft Office, including Word, PowerPoint and Excel.
o Proficient with technology including mobile devices.
o Ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
