Executive Assistant Manager


Job Description:
Completes a broad variety of administrative tasks for high level executives by the following:
Managing calendarsCompleting expense reportsComposing and preparing correspondence that is sometimes confidentialRepresenting the executives by welcoming visitors, coordinating meeting logistics, arranging company dinners and other corporate eventsAnticipating the executives' needs and proactively assembles the appropriate people and resources to solve problems.
Track meeting attendance, take meeting minutes and follow-up on actions items.
Collaborating with other departments (e.
g.
PR) to publish company news to employees in timely mannerScreening related documents carefully to ensure legal compliancePreparing and distributing meeting minutes and reports to meeting attendees or employeesAssist leaders with travel related issues.
Manage of confidential invoices and process payments as per company policy.
Be the document admin for Futurewei level documents and track documents for document library.
Work with other team leads to handle smooth delivery of platform services to the labs/BU and the President.
Track the MIA budget, make budget spending proposals for MIA usage and report to President and AT.
Manage the overall work scope and provide training for the EA team related to Procurement process from PR creation to Payment on behalf of the BU/LabsFixed Asset Management for the Labs supportedExpense Management tracking including verifying receipts, invoices etc to expense reports.
Track departmental budget for team building, internal meeting and other department common activitiesUnderstand in depth the policies that affect the BU e.
g.
expense reimbursement, procurement, fixed asset, MIA/Internal meeting, Tracking of Gift management for the labs/BUBe able to work with other department/platform functional leaders to be able to get support for the labs/BU related to training or resolving issues for the labs/BU.
Lead the EA/AA function to provide seamless support for the Company:
Collect feedback from BU leaders to ensure the quality of service provided to BUsCommunicate with team members on monthly basis re.
conducting performance reviews and provide feedback to BPO project manager.
Host EA team monthly meetings to track action items and present important company information to ensure the team has the best knowledge of the company policies and processes.
Handle inquiries quickly to subordinates and arrange EA trainings to improve skill setInteract cross-functionally with departments, employees, vendors or customers in need of EA support.
Plan team building events and internal meeting events - in person as well as virtual events.
Be knowledgeable of office IT tools and provide support to teams/Labs.
Analyzing EA workload regularly and adjust it as needed.
Recruit and train new administrative assistants to support business functionsPerform additional duties as assigned.
Job
Qualifications:
Bachelor's degree or equivalent experience3-5 years of experience as an administrative professional is desired.
Proficient in Microsoft OfficeKnowledgeable in accounting related to expense management.
Outstanding interpersonal, communication and influencing skills in order to provide high level service to the Business leaders and business groups.
Demonstrated ability in handling highly confidential, sensitive information including written correspondence.
Excellent attention to details with strong organization and planning skills.
Work effectively and efficiently as part of a team.
Strong project management and problem-solving skills and able to multi-task.
